API Integration Planning Guide for Business Systems
Plan reliable CRM, invoicing, form and operations integrations with data mapping, API limits, authentication and monitoring.

Write down exactly what event starts the integration, which records are sent, which fields are required and what successful processing looks like. For example, a website form might create a CRM lead, notify a sales team and store a reference number. Decide what happens if the same event arrives twice or a field is missing. Clear field mapping prevents many integration failures.
Verify both systems support the workflow
Not every application exposes the API functions needed for a project. Review authentication options, endpoint coverage, webhooks, rate limits, data access permissions and subscription requirements. Some platforms charge for API access or restrict production usage. Verify those constraints before promising a particular integration or quoting a fixed implementation price.
Plan failure and recovery
Networks time out; credentials expire; APIs change. Reliable systems use retries where safe, identify duplicate events, log non-sensitive diagnostic information and alert someone when a workflow remains stuck. Define which errors can be automatically retried and which require human review. Document the process for rotating credentials and recovering from a partial failure.
Test with realistic examples
Use representative records including missing values, unexpected characters, repeat submissions and changed statuses. Confirm the receiving system shows the right values, not just that the API returns a successful code. Before launch, decide who owns each application account, who monitors failures, and whether the integration can be disabled without disrupting the rest of the business.
Practical checklist
- Trigger and expected outcome
- Source and destination field map
- API access, pricing and limits
- Credential storage and permissions
- Duplicate and error handling
- Logs, alerts and recovery owner
- Test cases and maintenance ownership
Frequently asked questions
Can any two apps be integrated?
Not always. It depends on their available APIs, data access permissions and contractual restrictions.
Does automation remove all manual review?
Usually not. Exceptions, approvals and sensitive decisions may still need a human step.
